Why Was I Charged Sales Tax If My Organization Is Tax Exempt?

Kaplan Early Learning is required to collect and remit sales tax in states where tax laws apply to the products and services we sell. Tax requirements are determined by state and local tax regulations and are based on factors such as: shipping destination, type of products purchased, and whether there is a valid exemption certificate on file.

Why Was Tax Charged?

Sales tax may be applied if:

  • We do not have a current tax exemption certificate on file for your organization.
  • The tax exemption certificate we have on file has expired.
  • The order was placed using a different billing account, address, or organization name than the one associated with your tax exemption.
  • The exemption documentation was not received before the order was processed.

How Do I Request a Tax Refund or adjustment?

To request a review of sales tax charged on your order, please provide:

  • Your order or invoice number(s)
  • A copy of your valid tax exemption certificate
  • The organization name and address associated with the exemption

You may submit this information through our Contact Us page or by emailing our Customer Service team at customerservice@kaplanco.com.

What Happens Next?

Once we receive your documentation, our team will:

  1. Verify your tax exemption status.
  2. Review the order and applicable tax regulations.
  3. Update your account, if needed.
  4. Process a correction to the order or invoice when eligible.
  5. Refund the credit if applicable.

How Long Does the Review Take?

Most requests are reviewed within 2–7 business days after we receive all required documentation. If additional information is needed, a member of our team will contact you.

How Can I Prevent Tax Charges on Future Orders?

To help ensure tax is not charged on future purchases:

  • Submit your tax exemption certificate before placing an order or send it as soon as the order was submitted.
  • Notify us if your organization name, billing address, or tax exemption status changes.
  • Provide updated exemption certificates before existing certificates expire.
  • Request/use a myKaplan platinum account for on-line ordering and log in to place new orders. This account will link to your exempt status.
