How to handle Truckload from Vendor to Customer.

Please use this information to ensure prompt and accurate response to a large shipment from our vendor direct to the customer.

In rare occurrences, a customer may order a large volume of products from one vendor.  When a vendor has a truckload shipment, the vendor should reach out to Transportation Insights for assistance in scheduling this pickup of the shipment and delivery to customer.   TI may reach out to traffic or customer service for authorization to send a truck on behalf of Kaplan.

This is per the routing guide provided to all vendors.

Routing Guide instructions:

OVER 10,000 LBS OR IF CUBIC DIMENSIONS EXCEED 750 CUBIC FEET OR MORE

Carrier will be advised by the Outsource Execution Team at Transposition

Complete the “Vendor Routing Request” Form and submit that form to the Outsourced

Execution Team at Transportation Insight at Kaplan@T-insight.com.

Please ensure that ALL Kaplan PO numbers are listing on the Bill of Lading. If multiple

shipments are shipping to the same address, please consolidate those orders.

There may be a bigger need for Kaplan to intervene and assist in the scheduling of this shipment.

When notified that a truckload shipment is pending at vendor x.  The vendor should share the total shipment size (pieces/weight/cube).  Service should work with the customer and/or sales rep to determine when and how they wish to receive the delivery.  Note that with truckload shipments, inside delivery is not an option.  If inside delivery is needed, direct communication and alignment with k-truck management for temporary labor support at the delivery will be required. Often, these orders are part of a standard white glove or k-truck delivery and the timing should align.

Once the delivery date has been determined (be aware of transit time between vendor and customer and choose a date that can be actioned without expediting if possible), alert traffic services and K-truck management to schedule the truckload with Transportation Insights.  Share the specifics of the shipment size and customer expectations for the delivery event. Create follow up as necessary to ensure the shipment moves and delivers as expected.
