How To Set Up A myKaplan Platinum Account PeopleSoft And Web Panel

Step-by-Step informational and how-to guide for setting up a myKaplan Platinum customer in PeopleSoft and enabling the Web Process

Step 1. PeopleSoft: Configure General Information Panel

  • PeopleSoft path: Main Menu -> Customers -> Customer Information -> General Information
  • Enter Bill to Customer Number (Bill to Cust#)
  • Click the General Info Links dropdown arrow and select Additional General Info
  • Click Standard ID Qualifier dropdown arrow and select Web Customer
  • In the ID Number field, enter the Bill to Customer Number
  • If Ship to Customer is different from Bill to Customer, set up ship-to as follows:
    • Click the General Info Links dropdown arrow and select Additional General Info
    • Standard ID Qualifier = Web Customer
    • ID Number = “always bill to cust#” (i.e., use Bill to Cust#)
    • Tie all Ship to Customer# to the Bill to Customer#
    • Complete this step if the Ship to Customer# is different from the Bill to Customer#

Step 2. PeopleSoft: Set Up account for web access

  • Main Menu -> Kaplan Product Web Info -> Web Customers
  • Click Add a New Value
  • SetID = kapco
  • Standard ID Qualifier = Web Customer
  • ID Number = Bill to Customer Number
  • Click Add
  • Enter contract number (Buying Agreement) if applicable and press Tab; terms will populate
  • If Purchase Order is required, enter (Y) if yes user must enter a purchase order during the ordering check-out process
    • If the account has tier levels (Approvers), do not select (Y) for the Purchase Order unless the submitter(s) will enter PO#. Otherwise approvers will add the PO# prior to approval
  • Image -> enter kaplan_logo
  • Enter welcome text (example): “Welcome [customer name] to your Kaplan Early Learning Company website.”
  • Enter disclaimer (example; modify as needed):
    • Coupons and promotions are valid on in-stock items only (drop shipped items and backorders are not included). Cannot be combined with any other offer or discounts. Cannot be used on prior purchases or custom-stocked items. Limit one coupon per customer. Products cannot be resold or used for commercial purposes. No cash value. Void where prohibited. Subject to restrictions and change without notice.
  • Save
  • Click Bill to – Ship to
  • Enter Bill to Customer number and location
  • Enter Ship to Customer numbers and locations (click + to add additional customer numbers)
  • Save

Step 3. Web Panel Process - Add user profile and permissions

Note: PeopleSoft day-end process must complete before Web users can be set up (complete the web panel process a day after the PeopleSoft Set up)

  • Inside.kaplanco.com/admin (access path after day end)
  • Go to Inside.kaplanco.com/admin
  • Log in with Kaplan computer credentials: username / password
  • Adding Users and User Tier Levels
    • Click Add New Users
    • Create/Enter Username (create a username unique and specific to the user i.e.: email address, first initial last name, etc.)
    • Create/Enter Password (use system generated or create a password unique to the user)
    • Corporate Account: select the correct Bill to Customer from the dropdown list of organization names
    • Enter User Information:
      • Name
      • Telephone #
      • Email address
    • Select User access:
      • Admin Privileges: set to No (unless the customer will add new users)
      • Set up new Ship to’s: No (unless the customer will be adding ship-to addresses)
    • Select Authorization Level: Submitter or Approver
    • Click Update
  • Post-update steps:
    • Check the Bill to associated with the user
    • Select ship to(s) for each User Submitter(s) and Approver(s)
    • Update

Step 4. Customer Communications

  • To the Customer:
    • Email welcome letter/email to the customer
    • Forward credentials (username(s) and password(s))
    • Send a one-page overview ordering sheet
    • Share details related to the navigation panel
  • To the Sales Representative:
    • Confirm that myKaplan setup is complete

Notes and tips

  • Ensure all IDs (Bill to and Ship to) are correctly linked to avoid login or access issues.
  • If PO access is required for some users, coordinate with the Approvers to populate PO# before approval.
